OPERATIONS ASSISTANT

The Operations Assistant is an integral part of the ATX TV Operations Team. It provides support to the Co-Executive Director (Head of Operations) and Director of Operations in developing and overseeing event logistics (virtual and in person) and creating content for ATX TV and the annual ATX TV Festival (June 2-5, 2022). This position will also assist with the ATX TV Membership Program; coordinate the annual ATX TV Pitch Competition submissions and planning; and strategize and implement programming to grow Community Engagement both virtually and in Austin.

The ideal candidate for this position is extremely organized, a team player who loves interacting and engaging with people, takes initiative, and has excellent communication skills for both internal and external facing audiences.

 

Weekly Responsibilities:

  • Provide administrative support, including but not limited to calendar management & scheduling for Co-Executive Directors’ professional calendar, checking voicemail messages, and booking travel as needed.
  • Set, coordinate, and track Zoom Meetings and Webinars for internal and external meetings, Pitch Competition events, and ATX TV Member events.
  • Assist with administering the ATX TV Membership Program, including the opportunity to develop and lead new ATX TV Membership benefits and events.
  • Coordinate, track, and mail merch customer orders, as well as serving as point of contact for ordering and fulfilling new merch orders for special events and the festival.
  • Track and organize receipts, legal agreements, and Sponsor contracts in shared Google Drive.
  • Manage internal tracking documents for ATX TV Events and The Pitch Competition including databases, various surveys, submission forms, etc. 
  • Research projects as needed.
  • Other duties as assigned.

 

Festival Responsibilities:

  • Create and manage load-in and load-out schedule and festival Run of Show for all venues and festival spaces. With Director of Operations, ensure that all festival spaces are prepped, set up and then properly loaded-out.
  • Oversee festival equipment inventory for signage, office needs, step and repeats, venue supplies, etc. leading up to, during, and after the festival.
  • Manage the production of onsite festival production materials (venue binders, seasonal staff and volunteer agreements, special event tracking forms).
  • Assist Director of Operations with day to day management of the festival, including lending support to venues, vendors, seasonal staff, and venue managers.
  • Manage any festival equipment pick up and returns.
  • Other duties as assigned.

 

Qualifications & Skills:

  • Excellent organizational skills and attention to detail, as well as the ability to manage time and adhere to deadlines, are a must.
  • Ability to prioritize and manage multiple tasks and responsibilities with discretion and good judgment.
  • Ability to work independently and as part of a team.
  • Excellent written, verbal, and interpersonal communication skills. 
  • Demonstrate computer skills with proficiency in Google Work Suite.
  • Ability to thrive in a fast-paced environment while supporting multiple tasks.
  • Must have increased flexibility and availability for extended hours from May 16 – June 6, including nights and weekends. 
  • Love of television and talking about it with other people!
  • Previous festival/event experience is a plus.
  • Proficiency in Adobe Creative Suite and Microsoft Office a plus.

 

Physical Requirements:

Frequently required to stand/walk for long periods of time and/or assist with moving boxes, equipment, etc. during events. Ability to lift 50 lbs. Manual dexterity is required for keyboard and computer use.
 

Location and Schedule:

  • ATX TV is operating remotely. While this may change in 2022, currently all employees/contract positions work from home (or at their chosen location). All positions are required to be available for remote meetings (via Zoom and phone) as well as occasional meetings in person at central locations (indoor/outdoor). 
  • This role is a contract position. 
    • Work hours will vary depending on weekly projects and needs. As ATX TV Festival nears, amount of work and time needed will significantly increase and then decrease post-June.
    • Exact hours and times vary day-to-day and can be flexible depending on current projects, upcoming event schedule, meetings, and pre-festival deadlines.

SOCIAL MEDIA COORDINATOR

The Social Media Coordinator will help create a cohesive ATX TV brand presence across platforms, including Twitter, Instagram, Facebook, and YouTube (with a goal to start TikTok). They will work closely with the Programming and Operations teams to develop and implement successful social media campaigns year round and at ATX TV Festival (June 2-5, 2022), including but not limited to creating social media content + series, marketing + promotion of upcoming in person and virtual events, giving new life to pre-existing content, and engaging in on-going conversations with the ATX TV community across all platforms.

In addition, they will oversee analyzing metrics to foster community growth, engagement, and badge sales. This role is best suited for a creative and collaborative individual with strong communication skills and a passion for social media, who has the ability to adapt and strategize in a fast-paced environment.

This position requires a highly independent and communicative self-starter. Someone who takes initiative, creates projects, stays engaged and communicates progress to the team to achieve overall goals.
 

Weekly Responsibilities:

  • Copywriting, copy editing, scheduling and posting on behalf of ATX TV across various social platforms (Twitter, Facebook, Instagram, TikTok, YouTube).
  • Starting and engaging in conversation across all platforms with the ATX TV community (attendees, panelists, press, partners) about current events happening in TV.
  • Engaging with ATX TV Members via Slack on current TV topics (ie. what they’re watching).
  • Working with Programming and Operations to create and draft ATX TV newsletters as needed.
  • Basic design of assets for various platforms (Twitter, Facebook, Instagram, YouTube, TikTok, Newsletter).
  • Utilize photo and video archive to create social media content year round.
  • Work with partners and talent to capture content and create engagement during events.
  • Assist with management/release of YouTube content and grow YouTube subscriber base.


Festival Responsibilities:

  • Foster a lively and engaging social media presence on Twitter, Facebook, Instagram, and TikTok throughout the event.
  • Engage with ATX TV’s online festival community, partners, and talent across platforms.
  • Manage and collaborate with the Volunteer Team to capture, create and share quick-turnaround content throughout all four days.
  • Develop a schedule/strategy for capturing content on-site with talent and attendees throughout the event.
  • Support the marketing team with daily copywriting and copy editing responsibilities.
  • Track metrics and campaigns throughout the event and produce a post-festival report on overall performance and engagement. 


Qualifications & Skills:

  • Must have a genuine interest in TV and general knowledge of the current TV landscape.
  • 1-2 years previous experience in social media management / marketing.
  • Familiarity with social media scheduling platforms, metrics, etc.
  • Proficiency with Adobe Creative Suite (specifically Photoshop and Illustrator). Proficiency with Adobe Premiere a plus.
  • Excellent writing, copy editing, and verbal communication skills.
  • Reliable and able to execute tasks with minimal oversight.
  • Strong prioritization and organization skills.
  • Must be comfortable approaching and interacting with general attendees, panelists, volunteers, etc in a fast-paced/high-energy environment.
